D-TRAK® fully supports TEC Chapter 37
Safe Schools Data Collection requirements.
D-TRAK® has been designed to work with PEIMS so that fulfilling TEC Chapter 37 annual-reporting requirements becomes almost effortless.
D-TRAK® allows you to flag discipline incident records as Reportable to PEIMS and to enter additional details specifically required by the Texas Education Code for the Safe Schools Data Collection Reports. Then, with the click of a few buttons, you can generate a magnetic file for importing that data into PEIMS. You can even create a paper report of PEIMS reportable incidents for your own records!
When you mark an incident Reportable to PEIMS and post it to your D-TRAK® database, the following Additional Details for PEIMS-Related Offense screen is displayed.
This details screen is divided vertically into "Required" and "Optional" information columns. In the "Required" information column, you'll enter the following items:
- Discipline Action Code - On the screen, you'll click on the Question Mark icon beside the field, but for now
click here to view the Disciplinary Action Codes and explanations that will be displayed. You'll close that definitions screen, drop down the list of code numbers and select the appropriate code to insert it into the field.
- Discipline Action Reason - Again, you'll click the on-screen Question Mark icon beside the field, but for now
click here to view the Disciplinary Action Reasons and explanations that will be displayed.
- Action Length - You'll insert a duration, such as a number of days, for the Disciplinary Action.
- Actual Length Served - You'll insert a duration for the action that was actually served.
- Difference Reason - You'll enter a code that explains how the action assigned and the action served were the same or different, and, if different, why. This field features another clickable list of codes and explanations and selectable code numbers. Click here to see the Difference Reason Codes and explanations that will be displayed.
Of course, you can't enter the length of action that was served or the reason for any difference before the fact, so you can leave these last two fields blank temporarily. But read on to learn how D-TRAK® assures that you won't forget to go back and fill in the blanks.

When you're ready to transfer your Safe Schools Data to PEIMS, you'll click on the PEIMS button on the main D-TRAK® screen to open the PEIMS Main Form shown below.
Remember when we told you that D-TRAK® wouldn't let you miss anything?
In fact, D-TRAK® won't let you generate the magnetic file for PEIMS import unless all of the required information is included. That's why the first button on the PEIMS Main Form screen opens the Missing Information Report. Click on it to scan PEIMS-reportable incidents and list any missing information, such as Actual Lengths Served and Difference Reason Codes. Use this report as your guide to access Old Incidents in the D-TRAK® database and complete the required information.
When all of the required information has been posted, you can Generate Import Data for PEIMS. Select a date range, tell D-TRAK® where to place the file it builds, insert a diskette if necessary, enter your TEA-assigned School District Number, and click Start. That's all there is to it! D-TRAK® will even tell you how many records were written to the file and confirm the path/file name.
Want to print your own report of incidents that are reportable to PEIMS? Just click on the PEIMS Incidents Report button, select a date range, check if you want recorded comments included, and click the Generate Report button.
